Online appointment booking: a guide for freelancers and small businesses in Switzerland
Clients who want an appointment shouldn't have to wait for your reply by email. With a booking page linked to your online calendar, they choose a free slot themselves, at any hour. This guide explains how to set it up, make it known and comply with data protection, whether you are a coach in Geneva, a therapist in Zurich or an accountant in Lugano.

Booking page or scheduling poll?
The booking page is mainly for one-to-one appointments: a client, a patient or a prospect picks a slot from your availability, and the appointment is confirmed straight away, unless you choose to approve each request. For a workshop or class, it can also offer several seats on the same slot.
The scheduling poll is for bringing several people together: you propose a few dates, everyone says when they are available, then you choose the best one. For a committee, a team or a general meeting, it's the right tool.
The settings of a good booking page
- The appointment type: a clear title, for example “Intro call”, and one or more durations to choose from.
- Your weekly availability, with your breaks: the page offers only these slots.
- A minimum notice before an appointment, so you don't find out at 8:00 that someone booked for 8:30.
- A booking horizon: how far ahead people can book, for example two months.
- Buffers before and after each appointment, to travel or prepare for the next one.
- A maximum number of appointments per day, to keep time for the rest of your work.
- The location: your address, a video call link created for each appointment, or a phone call.
- Advanced features, optional: approve each request, open several seats per slot, send bookings to another tool. See the guide to the advanced features.
Link your calendar to avoid double bookings
A booking page can only be trusted if it knows your other commitments. Link the calendar you already use, Google, Microsoft / Outlook, Apple iCloud or Infomaniak: your busy times are no longer offered, and each confirmed appointment is added to your calendar.
Your clients receive a confirmation by email with an .ics file to add the appointment to their own calendars, a reminder the day before if you turn it on, and links to reschedule or cancel the appointment without writing to you.
Make your page known
- In your email signature and your replies to enquiries: a “Choose a time” link replaces several back-and-forth emails.
- On your website: a link, or a floating “Book a meeting” button that opens the page without leaving the site.
- On your Google Business Profile: once your business is verified, you can add your booking link there, depending on your business category. It's often where clients in your area find you first.
- In the bio of your social media profiles.
- On your business cards or in your shop window: a QR code that leads to your page.
Data protection: what the nFADP requires
Since 1 September 2023, the new Federal Act on Data Protection (nFADP) also applies to freelancers and small businesses. For a booking page, a few points cover the essentials.
- Ask only for what is needed: a name and an email address are enough to confirm an appointment.
- Mention the booking tool in your privacy policy, with the data it collects.
- Know where the tool hosts the data: if it is disclosed abroad, you must state the country and, where applicable, the safeguards in place (Art. 19 para. 4 FADP).
- Be careful with health data, which is sensitive data: don't ask for the medical reason for a consultation in the booking form.
- The Federal Data Protection and Information Commissioner (FDPIC) publishes practical resources, in particular on the duty to provide information.
How much does an appointment booking tool cost?
Prices vary a lot: some tools are free for a single booking page, others charge each user every month or take a commission on payments. Before choosing, check what the free plan really includes: number of pages, reminders, linked calendars and video calls.
Calenoo is free, with no restrictions: several booking pages, linked calendars, reminders and video calls included. Our comparison of Calendly alternatives details the plans of the main tools.
Set up your page with Calenoo
Create a free account, then a booking page: an assistant guides you in four steps.
- The appointment: its title and your page link.
- The location: in person at your address, by video call, or by phone.
- The hours: a template (Monday to Friday, 9:00 to 17:00, with or without a lunch break), adjustable day by day.
- The rules: minimum notice, horizon, buffers, daily maximum and reminder, already preset and editable at any time.
To wrap up
Then link your calendar from your account and share your page link. Your clients book, the appointment lands in your calendar, and you no longer have to hunt for a slot by email.
Frequently asked questions
- Do my clients need to create an account to book?
- No. They choose a slot, enter their name and email address, then receive the confirmation by email, or after your approval if you approve each request.
- Can I offer several types of appointment?
- Yes. Create one page per appointment type, for example an intro call and a follow-up session, each with its own hours and rules. A single page can also offer up to five durations to choose from.
- How do I avoid missed appointments?
- Turn on the day-before reminder and let your clients reschedule or cancel their appointment themselves: a slot freed in time can be booked by someone else.
- Where is the data hosted with Calenoo?
- Calenoo's database is hosted in Switzerland (Zurich). Technical providers located abroad are listed in the privacy policy.
- Does a booking page replace a scheduling poll?
- No, they complement each other. The booking page is for one-to-one appointments, or for group sessions at times set by your availability; to find a date that suits several people, create a scheduling poll, no account needed.
